  • Payment of the exhibition stand is due by the 20th of the month following the invoice date, or before the conference (24 September 2026), whichever comes first.
  • Company logo, website link and profile for the Conference app (via Exhibition Portal)
  • Confirm trestle table, table cloths and chairs (via Exhibition Portal)
  • Social media platforms for the Conference app (via Exhibition Portal)
  • All exhibition stand staff are to be registered
  • Return the signed exhibitor health and safety obligation form (via Exhibition Portal).

Making the most of your time at the ASP Conference

Our conference organising team is here to support you in maximising every opportunity, both before and during the conference. The tips below are designed to help you build valuable one-on-one connections with many attendees in a short amount of time, all of whom have a genuine interest in your products or services.

Exhibition stand information

  • Prefabricated 3m x 3m stand (Octanorm white panels)
  • Two exhibitor registrations including daily catering and a ticket to the welcome reception on Thursday 24 September
  • 2 x spotlights and 1 x 4 amp power supply with 4 pin multi-box power point
  • Organisation fascia signage (max 30 characters in navy font on a white board, all caps)
  • Exhibitor listing in the mobile app, including a 50 word profile of organisation or products
  • A list of conference delegates who have agreed to name disclosure in relation to the conference sent two weeks prior

Trestle table and chairs
Please indicate via your Exhibition Portal if you require a trestle table (1820 × 460 mm), chairs and hire a table cloth.

Hard wired internet
Please email amika@conference.nz if you wish to purchase hard wired internet from the venue. Please click here to view the internet packages. 

Custom stand design approval
Exhibitors installing a custom designed stand must provide a design layout showing the dimensions and 3D plan of the stand design prior to Friday 31 July to amika@conference.nz for approval. 
 


Registration

Exhibitor registration:
Each stand includes one complimentary exhibitor registration, which provides day catering (24 - 26 September) and a ticket to the Welcome Reception (Thursday 24 September). During registration, you may also purchase tickets to various social event and book accommodation. Additional exhibitor registrations are available for NZD $500 (incl. GST).

You can register your onsite team through your Exhibition Portal. All onsite staff must be registered by Monday 31 August.

Accommodation bookings:
The conference organisers have secure room blocks at exclusive rates which can be booked via the registration process. To secure multiple rooms for your organisation or arrange chargeback, please contact Sarah Scott.

Pack in/out information

Exhibition pack in
Deliveries will only be accepted from Monday 21 September. Please ensure your packages are clearly labelled, using the Crown Perth's delivery label below. 
 

Exhibition pack out
Pack out begins Saturday 26 September, from 4.00pm. Pack out CANNOT commence any earlier than 4.00pm.
 


Health and safety

Ensuring the health and safety of all workers, exhibitors, and delegates is a top priority at the ASP Conference.

Exhibition access and safety requirements

All attendees must comply with the below requirements:

  • Access times: You may not enter your stand before the allocated build time or before the exhibition build is complete. At the end of the conference, pack-out is only permitted during the allocated time, after Conference Innovators and Crown Perth have inspected the venue.
  • Safety gear: A high-visibility vest must be worn during pack-in and pack-out.
  • Electrical equipment:All electronic items (e.g., laptops) must be ‘tagged and tested’ by a qualified electrician and be up to date. Untested or expired items will be removed.
  • Security: All attendees and exhibition staff must wear their official conference name badge at all times. Any bags or exhibitor items left in storage must be logged and signed for. Suspicious items may be removed. Security procedures may change without notice.
  • Health and safety compliance: All workers, contractors, and exhibitors are expected to act safely and comply with current health and safety legislation. Failure to comply with venue or conference requirements, or unsafe behavior, may result in removal from your stand.

Crown Perth Health and Safety form

The Crown Perth Classification of Proposed Services (CPS) form must be signed and sent to amika@conference.nz by Monday 31 August.

ASP Conference exhibitor obligation form

The ASP Conference Exhibitor Obligation Form must be signed and sent to amika@conference.nz by Monday 31 August.

Access for large vehicles and deliveries is generally routed via the rear of the Crown Promenade and Crown Towers hotels off Bolton Avenue or Park Road.
